Procopio has an immediate opening for a full-time Intellectual Property (IP) Docketing Specialist at our Downtown San Diego office. The Specialist will work directly with the intellectual property attorneys and paralegals to monitor actions due for patent and trademark filing and prosecution. On a regular basis the Docketing Specialist is responsible for processing incoming postal/electronic foreign and domestic mail from the USPTO and foreign associates; updating critical information in the docketing database and maintaining its accuracy to ensure quality of records; generating docket reports and queries; liaising with and handling inquiries from attorneys, paralegals and secretaries effectively; and assisting with various other administrative duties. Several years of experience in patents and/or trademark prosecution is required as is several years of administrative support experience. Familiarity with IP docketing systems or experience docketing is required.
Successful IP Docketing Specialists have the ability to prioritize daily workload, as well as recognize and act on important details and deadlines. Our top candidates have at least 2 years’ experience in patent and trademark prosecution within a law firm an additional 2 years in administrative support. They also have the ability to work under pressure, respond quickly to changing demands, and are self-motivated with the capability to work both independently and as part of a team. They also have strong administrative, organizational and interpersonal skills. Typical pay range is from $83,000 – $105,000 depending on experience. Key Responsibilities:
- Prepare and transcribe legal correspondence, pleadings, memoranda, reports, and forms.
- Perform e-filing across various state and federal jurisdictions (CA, NV, AZ, including Riverside, Northern California, and federal courts).
- Proofread and edit legal documents for accuracy, completeness, grammar, and proper formatting.
- Maintain organized electronic and physical files, locate and retrieve information, and manage correspondence.
- Handle client communications, screen calls, and arrange appointments and conferences.
- Prepare engagement letters and assist with case administration tasks under attorney or paralegal direction.
- Enter attorney time and manage billing processes.
- Perform calendaring and prepare expense reports.
- Arrange for reproduction, distribution, and county recording of legal documents, including mechanics’ liens and government code claims.
Required Qualifications:
- Minimum of 7 years of experience in a high-volume, fast-paced civil litigation environment.
- Extensive experience with e-filing systems such as TruFiling, One Legal, CM/ECF, and Odyssey
- Proficiency in Microsoft Office Suite.
- Strong familiarity with state and county filing systems (multi-county experience preferred).
- Exposure to complex litigation cases, breach of contract claims, lien foreclosures, and government code claims.
- Experience with construction litigation is highly desirable.

Procopio is seeking a Paralegal/Legal Assistant to support the family law group in its downtown San Diego office. The ideal candidate will have both family law paralegal and legal assistant skills for a minimum of 5+ years in a fast-paced legal environment and be comfortable working in-office 5 days a week (M-F). A paralegal certificate from an ABA approved program or equivalent is required. The role will encompass a combination of billable hour paralegal work, in addition to legal assistant responsibilities. The position will include responsibilities such as calendaring, communicating with opposing counsel and clients, scheduling/continuing hearings and mediations with the court or private judges, court filings, service of documents, preparing and/or drafting correspondence, judicial council forms and declarations, assisting with discovery, document review, preparation of DODs, screening new clients and running conflict checks. Previous experience using the MS Office Suite, timekeeping systems, and other law firm related computer programs is required.
